5. Who we share your information with

Depending on your care, we may disclose your information to the following parties, and only to the extent necessary:

  • Treating practitioners and clinical staff involved in your care.

HotDoc handles payments through its own secure payment providers and does not store card details on our website.

6. Health information and your sensitive information

Health information is treated as sensitive information under the Privacy Act. We collect it only with your consent (which may be implied where it is necessary for your treatment) and handle it in line with professional and legal record-keeping standards.

7. Security and retention

We take reasonable steps to protect the personal and health information we hold, including access controls, secure systems and staff confidentiality obligations. Health records are retained for the periods required by NSW health records legislation and professional standards, and are securely destroyed when no longer required.

8. Data breaches

If a data breach occurs that is likely to result in serious harm to your personal information, we will assess it and notify you and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches scheme.

9. Website data and analytics

Our website uses Google Analytics 4 to collect de-identified usage data (such as pages visited, device type and general location) so we can improve the website. This data is not used to identify you and is not combined with your health record. You can opt out of Google Analytics using browser settings or Google's opt-out tools.

10. Appointment reminders and marketing

We may send you appointment reminders and clinical recall messages (for example, follow-up skin checks) as part of your care. These are sent in line with Australian messaging rules and include sender identification. We will not send you marketing messages unless you have opted in, and you can opt out at any time by contacting the practice.

11. Access and correction

You may request access to the personal and health information we hold about you, and request corrections where it is inaccurate or out of date. To make a request, contact the practice using the details in section 2. We will respond within a reasonable time. A fee may apply for copying records, and there are limited circumstances in which access may be refused (for example, where granting access would pose a serious threat to health and safety), in which case we will explain why and provide a mechanism to dispute our decision.
